Job Summary:
The Reporting Officer is responsible for collecting, analyzing, and compiling project-related data and information to prepare high-quality reports for internal and external stakeholders. The role involves ensuring timely submission of reports, maintaining data accuracy, and supporting project teams in meeting reporting requirements.
Key Responsibilities:
1. Reporting & Documentation:
- Develop and maintain a reporting schedule outlining key deliverables and deadlines.
- Prepare and edit high-quality project reports, including weekly, monthly, quarterly, and annual reports.
- Ensure that all reports meet organizational and donor standards, including formatting and content guidelines.
- Compile success stories, case studies, and lessons learned from project implementation.
- Maintain a systematic and organized record of all reports and related documents.
2. Data Collection & Analysis:
- Collect relevant data from project team members and stakeholders in a timely manner.
- Analyze data to identify trends, challenges, and opportunities for improvement.
- Ensure accuracy, completeness, and consistency of reported information.
- Support the Monitoring, Evaluation, Accountability, and Learning (MEAL) team in data verification and validation processes.
3. Coordination & Communication:
- Work closely with project teams to ensure compliance with reporting requirements.
- Coordinate with different departments to gather necessary information for reports.
- Provide guidance and training to project staff on reporting standards and best practices.
- Ensure effective communication with donors, partners, and other stakeholders regarding reporting requirements.
4. Compliance & Quality Assurance:
- Ensure that all reports adhere to donor, organizational, and government reporting requirements.
- Identify and address reporting gaps or inconsistencies.
- Proactively escalate reporting challenges to the Project Manager or MEAL team.
5. Other Responsibilities:
- Support the development of presentations, briefing notes, and other documentation as needed.
- Perform any other tasks assigned by the supervisor.
