Job Purpose
The Logistics Officer is responsible for managing procurement, supply chain, inventory, asset management, transportation, and warehouse operations at the Main Office level. The position ensures timely and cost-effective delivery of goods and services to project sites, particularly for health projects under BPHS and EPHS frameworks.
The Logistics Officer ensures compliance with organizational policies, donor requirements, and national regulations.
Specific Responsibilities:
1. Procurement Management
- Process procurement requests from departments and field offices.
- Prepare RFQs, bid analysis, and procurement documentation.
- Ensure procurement complies with donor and organizational policies.
- Maintain procurement tracking system and files.
- Coordinate with suppliers and vendors for timely delivery.
2. Supply Chain & Distribution
- Plan and coordinate distribution of medical and non-medical supplies to project sites.
- Ensure timely delivery of drugs, medical equipment, and consumables.
- Coordinate with provincial offices for supply needs.
- Monitor stock levels and prevent stock-outs.
3. Warehouse & Inventory Management
- Maintain updated inventory records.
- Conduct regular stock counts and reconciliations.
- Ensure proper storage conditions (especially for medicines).
- Monitor expiry dates of drugs and medical supplies.
- Implement stock control systems (FIFO/FEFO).
4. Asset Management
- Maintain updated asset register.
- Conduct periodic physical verification of assets.
- Ensure proper tagging and documentation of assets.
- Coordinate asset transfer between offices or facilities.
5. Transportation & Fleet Management
- Coordinate vehicle movements and transport schedules.
- Monitor fuel consumption and vehicle logbooks.
- Ensure proper maintenance of vehicles.
- Supervise drivers and transport-related documentation.
6. Compliance & Coordination
- Ensure compliance with:
- Ministry of Public Health regulations (for medical supplies)
- Donor requirements (e.g., UNICEF, World Health Organization, World Bank)
- Support preparation for internal and external audits.
- Coordinate closely with Finance, Program, and M&E teams.
