Job Descriptions:

Position Description:
The IT Report Officer plays a critical role in ensuring the timely, accurate, and quality reporting of all activities related to the project activities. The position supports the documentation, distribution outcomes, monitors data consistency, synthesizes reports for donors and stakeholders, and contributes to program visibility and accountability.

Being as SCOPE registration focal point, the inhabitant will be in constant contact with doner for beneficiary enrolment list for cash distribution and provide daily, monthly and final distribution reports.

The inhabitant supports the M&E team for analyzing the data for timely reporting to meet the project goals.

Key Responsibilities:

  1. Data Collection, verification and Analysis:
    • Collect and compile data from various sources within the in the project activity sites.
    • Analyze data to identify trends, discrepancies, and Identify data gaps, inconsistencies, and follow up with relevant staff for clarification.
    • Ensure accuracy and consistency of data collected, review and validate distribution data received from field teams.
    • Liaise with M&E team to cross-check output and outcome indicators with collected data.
  2. Reporting & Documentation:
    • Prepare and submit accurate and timely reports to the project management team, donors, and other stakeholders.
    • Develop and submit timely and accurate, weekly, monthly, quarterly, and annual distribution reports, ensuring they meet donor and organizational requirements.
    • Maintain a comprehensive database of all reports and related documentation.
    • Collect, compile, and analyze field data related to project activities (quantitative and qualitative) and develop narrative reports.
    • Ensure reports align with donor templates (e.g., WFP, other UN agencies) and internal formats.
    • Maintain a centralized and organized filing system of all reports, photos, and field documentation.
    • Maintain detailed records of project activities, outputs, and outcomes.
    • Ensure all project documentation is up-to-date and easily accessible.
    • Prepare case studies, success stories, and other documentation to showcase project achievements.
  3. Monitoring and Evaluation:
    • Support the monitoring and evaluation team in designing and implementing M&E frameworks.
    • Assist in the development of indicators and benchmarks for project performance.
    • Conduct regular field visits to verify data and monitor project activities.
  4. Coordination & Communication:
    • Liaise with project staff, partners, and stakeholders to gather information and provide updates on project progress.
    • Facilitate communication between field teams and project management.
    • Represent the project in meetings, workshops, and other forums as required.
    • Coordinate with field teams and M&E units to gather accurate and timely information.
    • Provide narrative inputs for donor reports, sit-reps, and internal updates.
    • Assist in compiling case studies, human-interest stories, and success stories from beneficiaries.
  5. Capacity Building:
    • Train and support project staff on data collection, reporting, and M&E processes.
    • Support training for field monitors and distribution staff on report writing, data collection, and documentation.
    • Provide guidance on reporting tools and ensure proper usage of data collection formats.
  6. Compliance & Standards:
    • Ensure reporting complies with donor requirements.
    • Maintain confidentiality and protection of sensitive beneficiary data.
    • Contribute to internal and external audits and verifications by providing accurate documentation and records.
    • Provide guidance on best practices for data management and reporting.
  7. Protection Tasks
    • Consider the protection needs of beneficiaries and ensure to mitigate harm to beneficiaries and ensure data protection.
    • Organize focus group discussions to understand the protections risks facing conflict and natural disaster-affected communities based on age, gender and diversity.
    • Maintain a record of protection concerns and risks in specific communities and communicate these issues as needed to project or program manager.
    • Support beneficiaries with specific needs to access referral services and additional support.
    • Develop training and guidance materials on protection for teams in the field.
    • Ensure, “Do No Harm” strategies are practiced, and the field teams are briefed guidance provided.
  8. Leadership skills:
    • Effective planning of tasks to subordinates and field teams to achieve the project goals.
    • Task coordination, among the team, follow-up to meet the tight deadlines.
    • Overseeing projects activities, guiding the team to the requirement of the doner.
    • Inspiring team members, to make sure effective project implementation and field activities.
    • Making decisions vital to setting up a plan of action for project implementation.

Qualifications:

  • Bachelor, in Computer Since, Engineering or any other relevant field and certification is preferred.
  • Full knowledge of MS Office Package, Advance knowledge of MS Excel.
  • Data analysis skills using MS Excel, Power BI, or any other related application
  • Very good written and oral English skills, experience in usage of digital data collection platforms, i.e., MODA, KOBO, etc.
  • Familiar with WFP’s SCOPE platform or mobile data collection.
  • Strong communication, Reporting and coordination skills.

Language Skills

Fluency in Dari/ Pashto or Uzbaki and English language skills (writing, speaking, reading and understanding)
