Job Descriptions:

Purpose of the Position

·         To support the efficient management of medicines and medical supplies by maintaining accurate stock records, supporting pharmacy operations, and ensuring timely and accurate use of the mSupply system.

Key Responsibilities

·         Receive, inspect, organize, and safely store medicines and medical supplies.

·         Maintain accurate stock records and ensure proper stock rotation using FEFO (First Expiry, First Out) and FIFO (First In, First Out).

·         Monitor stock levels, expiry dates, losses, damages, and potential stock-outs.

·         Enter, update, and maintain accurate inventory and transaction data in mSupply.

·         Generate and review routine mSupply reports and support data-based stock planning.

·         Conduct regular physical stock counts and reconcile discrepancies between physical stock and system records.

·         Prepare and support documentation for requisitions, issues, receipts, transfers, and returns.

·         Ensure proper filing and availability of pharmacy and inventory documents.

·         Report stock discrepancies, near-expiry items, and supply concerns promptly to the supervisor.

·         Maintain confidentiality, accuracy, and compliance with organizational pharmacy and supply-chain procedures.

·         Provide basic support and guidance to pharmacy staff on mSupply data entry and stock management procedures.

Job Requirements:

Required Qualifications and Skills

·         Diploma/degree in Pharmacy and Bachelor Degree in the Pharmacy is preferred.

·         Previous experience in pharmacy, medical supply, or inventory management.

·         Practical experience with mSupply inventory management system is desirable.

·         Good computer and data-entry skills, with strong attention to detail.

·         Good organizational, communication, and record-keeping skills.

·         Ability to work accurately under pressure and meet reporting deadlines.

Key Performance Indicators

·         Accurate and timely mSupply data entry and reporting.

·         Minimal discrepancies between physical stock and system records.

·         Timely identification of stock-outs and near-expiry items.

·         Proper documentation and filing of pharmacy transactions.

·         Compliance with stock management and organizational procedures.
