AICS also implements education programs, particularly in ECD, CBE, and ALP, with a focus on improving access to and quality of education for children in underserved communities.

AKF Education Service Program (ESP)

Under the AKF ESP, AICS is implementing education activities in Baghlan Province, supporting community-based education centers serving boys and girls in targeted communities. The project focuses on improving access to quality education, strengthening teachers and education personnel, monitoring center-level implementation, and coordinating closely with education authorities and community stakeholders.

Job Descriptions:

Center coordinator will support the implementation of ESP activities at the center level. Working closely with the Provincial Education Coordinator and project team, the coordinator will support planning, technical supervision, teacher and facilitator support, identification of capacity gaps, and resolution of field-level challenges.

The Center Coordinator will also support data collection, verification, and reporting, conduct regular visits to the centers, and maintain effective coordination with District and Provincial Education Departments, communities, and other relevant stakeholders. The position will contribute to ensuring that education activities are implemented effectively and in line with AICS policies, project requirements, and approved work plans.

Examples of the duty / responsibility areas:

  • supervisory, capacity building/staff development, administrative, planning, reporting, internal relations, external relations, financial, program/project development, organizational development, advisory, etc.
  • Ensure that all programs and activities in the center are carried out in accordance with the respective plans, targets, policies and procedures set and agreed by AICS.
  • Ensure that Regional Manager is fully informed on the condition of the learning center and all-important factors influencing the programs and operations.
  • Ensure that all AICS, policies are accurately implemented at the center level.
  • Prepare and share routine operations activities of HR, Admin, Finance, M&E and Facilities Management departments on weekly, monthly, quarterly and yearly basis as required.
  • Develop positive cooperation with community elders and “Shura” to improve the coordination and community collaboration in center level.
  • Liaise and coordinate closely and on ongoing basis with community representatives and members and ensure that community is fully kept informed of the plans and involved actively in development and delivery of the services.
  • Ensure the students registered timely, enrolled and classified into classes.
  • Ensure hygiene, sanitation and tidiness is maintained in the facility.

Monitoring & Evaluation

  •         Fill up student profile template with essential details and update it in each term/year as needed.
  •         Ensure unit-wise EMIS database accuracy and its timely updates based on actual information.
  •      Prepare and share M&E reports with required details, accuracy & meeting the given deadlines.

Facilities Management Department

  • Make sure that Facilities and equipment are always in functional order and usable.
  • Report any facilities (wiring, structure, equipment, premises etc.) faults to Project officer.
  • Ensure proper repair and maintenance of office equipment, generator and premises.
  • Observe, inspect and report facilities hazard(s), security changes of the area, surveillance in the vicinity of facility and any incidents to regional office. Monitor the minor construction work of the facility and update Project officer on regular basis.
  • Conduct orientation to new term students (ECD and Adult Students) and report to Project officer.
  • Report any changes in space allocation, classes and offices to Project officer.
  • Develop Repair & Maintenance and Premises budget breakdown and monthly forecast with consultation of Project officer.

Operational Roles:

Administration:

  • Manage and oversee center asset register and office inventory record.
  • Maintain the center stock in terms of proper utilization of supplies and stationery.

Financial Management:

  • Prepare, maintain and compile monthly financial reports and submit to RO with required supporting in timely manner.
  • Process financial transactions as per approved policies, procedures and authority matrix and maintain it with all related supporting documents.
  • Maintain financial files and records in orders for any internal or external audit trial.

Human Resources

  • Participate in job interviews as a panel on behalf of Regional HR when required.
  • Maintain the attendances; send the copies to Regional Office for monthly payroll advice.
  • Record and update the leave balance of the staff and report to Regional HR accordingly.
  • Report any incidents, misbehaviors and violations of HR policies to Regional HR.

   Commitment for Child Protection:

  • Carries out the responsibilities of the role in a way which reflects AICS’s commitment to protecting children in accordance with the AICS and donor Child Safeguarding Policy and advocates for the rights of children.
  • Additional activities that are performed by this position which occur occasionally / of an incidental nature outside of the things.
  • Performance management of watchmen and cleaner.
  • Implementation of proper students’ enrolment policy, procedure, and documentation.
Job Requirements:

  • Facilities and equipment functionality monitoring
  • Preparation of operational, M&E, and progress reports
  • Compliance with AICS policies, procedures, plans, and targets

Logistical

  • Management of center assets, inventory, supplies, and stationery
  • Coordination of repair and maintenance of facilities and equipment
  • Monitoring generators, office equipment, premises, and utilities
  • Identification and reporting of facility and security issues
  • Materials distribution to the center and sub-centers
  • Monitoring space allocation and classroom arrangements.

HR/ staffing

  • Staff attendance and leave management
  • Supporting recruitment and participation in interviews when required
  • Monitoring staff performance and conduct
  • Reporting HR-related incidents and policy violations
  • Supporting staff scheduling and class allocation
  • Coordination with Regional HR regarding payroll and staffing matters
  • Orientation and support for new staff and students
  • Requirements for the position, e.g.: minimum experience in a similar / relevant field, type and minimum level of education / certification, behavioral skills, technical skills, administrative skills, language skills, supervisory skills, etc.
  • Up to 2 years of experience in the related field.
  • Good written and verbal communication skills both in (English and Dari).
  • Ability to manage a complex workload and prioritize them.
  • Ability to liaise and work closely with community for better development and delivery of services.
  • High level of interpersonal skills and Proven ability to work with remote communities;
  • Good oral and written communication skills in Dari and English languages 
  • Familiar with computer programs (Office package and Outlook).  
  •  Holds minimum Bachelor’s degree (16th Grade) in Business Administration or any other related field
  • Up to 2 years of experience in the related field.
