Job Descriptions:

The Assistant Manager – will support the planning, implementation, monitoring, and reporting of the Home-Grown School Feeding (HGSF) project. The role is responsible for ensuring effective project coordination, bakery operations, quality assurance, donor compliance, and the timely delivery of project activities.

  • Support the planning, implementation, and monitoring of the HGSF project in line with ASWDO standards and donor requirements.
  • Serve as the main focal point for the donor, ensuring effective communication, coordination, and timely response to all requests and feedback.
  • Prepare and submit accurate and timely project reports (weekly, monthly, quarterly, and final) to the donor and management.
  • Coordinate closely with field teams to ensure smooth implementation of HGSF activities in targeted communities and schools.
  • Conduct regular field visits to monitor activities, verify quality of implementation, and report findings with recommendations.
  • Ensure compliance with ASWDO policies, donor guidelines, and safeguarding standards throughout project implementation.
  • Support budget tracking and coordination with Finance to ensure proper documentation and reporting of expenditures.
  • Identify operational challenges and support timely resolution in coordination with relevant departments.
  • Maintain proper documentation and filing of all HGSF project records and correspondence.
  • Participate in meetings with donors, government entities, and stakeholders as required.
  • Support data collection, assessments, and analysis to improve project performance.
  • Oversee bakery operations under the HGSF project, including daily baking, production planning, and supply management to ensure timely delivery of bread to targeted schools.
  • Supervise transportation and distribution of bakery products, ensuring safe, timely, and efficient delivery to schools and communities.
  • Ensure strict quality assurance of all baked products in line with food safety, hygiene, and donor standards.
  • Monitor bakery production processes regularly to ensure compliance with standard recipes, nutritional requirements, and quality benchmarks.
  • Coordinate closely with the Food Technologist to ensure proper testing, quality control, and continuous improvement of bakery products.
  • Review and approve daily production reports, quality control records, and distribution logs from bakery units.
  • Ensure proper storage, handling, and packaging of bakery products to maintain freshness and safety standards.
  • Ensure that the Food Technologist reports directly to the Assistant Manager for technical guidance, quality assurance, and operational feedback.
  • Prepare detailed written responses to Third Party Monitoring (TPM) findings, including corrective actions, explanations, and follow-up measures to ensure compliance and continuous improvement of project performance.
  • Prepare and maintain all required documentation and supporting records for internal and external audits, ensuring completeness, accuracy, and timely availability of all project-related operational, and compliance documents.
  • Perform any other task assigned by line manager.
Job Requirements:
  1. Must possess at least a Bachelor's degree; higher academic qualifications will be given preference.
  2. Must have a minimum of four (4) years of work experience.
  3. Must have the ability to provide advice and recommendations in the development of organizational policies.
  4. Must have the ability to lead, manage, and supervise organizational operations.
