Job Summary

The Admin/Finance Manager is responsible for overseeing all financial and administrative functions of the organization. This role ensures compliance with donor requirements and HERO policies, while maintaining transparency, accountability, and efficiency in financial management, procurement, and operations. The position requires strong expertise in financial systems (particularly QuickBooks), donor reporting, and organizational administration.

Key Responsibilities

Finance Management (Primary Responsibility)

  • Lead financial planning, budgeting, monitoring, and forecasting for projects and organizational operations.
  • Ensure timely and accurate financial reporting (monthly, quarterly, annual) in line with donor requirements.
  • Review and approve all financial transactions, ensuring compliance with HERO policies and donor guidelines.
  • Manage cash flow, bank reconciliations, and expense tracking.
  • Maintain accurate records using QuickBooks and other ERP/accounting systems.
  • Support internal and external audits with complete documentation.
  • Ensure statutory compliance (taxation, labor laws, financial reporting obligations).
  • Train and supervise finance staff in effective use of financial tools.

Procurement & Supply Chain

  • Oversee procurement processes ensuring transparency, competitiveness, and compliance.
  • Review procurement plans, quotations, bid evaluations, and vendor contracts.
  • Maintain supplier database and monitor vendor performance.
  • Supervise inventory management, asset control, and supply chain efficiency.

Operations & Administration

  • Oversee office administration, logistics, and utilities.
  • Coordinate finance, procurement, and program functions for smooth operations.
  • Support operational planning for field projects (transport, fuel, equipment allocation).
  • Develop and implement operational SOPs and policies.
  • Supervise operations staff to ensure effective service delivery.

Reporting & Compliance

  • Prepare consolidated financial and operational reports for management and donors.
  • Ensure records are organized, documented, and audit-ready.
  • Identify risks in financial and operational areas and recommend corrective actions.
  • Enforce compliance with donor guidelines, HERO policies, and legal requirements.
Job Requirements:

Core Competencies

  • at least five years of experience working with national and international NGOs, specializing in donor management and operational support.
  • A Master’s degree is considered an asset, while a Bachelor’s degree in BBA is required.
  • Financial accountability & integrity.
  • Mastery of QuickBooks and financial management systems.
  • Strong planning, organizational, and coordination skills.
  • Analytical mindset with attention to detail.
  • Ability to manage multiple priorities under tight deadlines.
