Job Purpose and Role

Reports to Recruitment & Talent Acquisition Coordinator, the HR Intern is responsible of all basic functions of Human Resource unit and assist HR team with the day to day HR activities.

Specific Duties and Responsibilities

  • Scan, upload, and maintain staff personal documents in the HR Information System (HRIS).
  • Create, organize, and maintain employee personal files, ensuring all required and updated documents are on file.
  • Update and maintain employee records, including personal data, contracts, leave balances, and status changes.
  • Maintain both physical and electronic filing systems for the HR department in an organized and confidential manner.
  • Record and update daily staff attendance sheets and support monthly attendance reconciliation.
  • Assist in preparing and sharing HR announcements by uploading them to relevant platforms and distributing them to all Afghanaid staff.
  • Coordinate recruitment activities by contacting candidates for written tests and interviews.
  • Download job applications and CVs and submit them to the relevant HR staff for long-listing and short-listing.
  • Support the HR team in reference checks for selected candidates, when required.
  • Assist with onboarding activities for new staff, including document collection, orientation support, and checklist preparation.
  • Support offboarding processes by assisting in clearance forms and personnel file updates.
  • Send medical insurance rejection notifications to the provinces and maintain accurate records.
  • Assist the Liaison Coordinator with document preparation for work permits and Tax Identification Number (TIN) processes.
  • Assist in organizing HR trainings, workshops, and staff orientation sessions.
  • Maintain confidentiality and professionalism when handling employee information.
  • Perform any other HR-related tasks assigned by the line manager or HR supervisor.
