• Responsible for providing general administrative services and support with a focus on extensive security measures to safeguard the company’s interests and employees.
• Devise strategic guidelines for the management and maintenance of buildings, residential buildings of EA, transport, and carrier fleet along with the execution of transparent procedures in the allocation of resources.
• Assess and evaluate potential opportunities for outsourcing administrative services e.g. Janitorial services, transport, guest housing, fuel supply, travel, insurance, rent of offices, travel and accommodations, etc.
• Define guidelines for facility management along with taking measures to arrange office space, furnishings, and other administrative facilities for swift official business operations as and when required.
• Collaborate with senior management to develop and execute strategic plans and initiatives.
• Devise an extensive Maintenance Strategy for HQ and Regional levels as well.
• Maintain a close liaison with the title custodian agencies in connection with the contentious issues of the settlement of EA’s properties and outstanding dues along with appropriate follow-up of concerned litigation cases.
• Formulate and execute an inclusive maintenance strategy for the conservation of EA offices and residential buildings; with appropriate scheduling of personnel, materials, and equipment to obtain optimum employee satisfaction.
• Anticipate future maintenance needs and plan to meet them with enhanced efficiency and substantial cost reduction.
• Deal with the title custodian agencies for resolving the issues involving settlement of properties, outstanding dues, and appropriate utilization of real estate assets on a commercially viable basis.
• Safeguard EA real estate assets against any illegal trespassing, encroachment, and occupation.
• Plan manpower requirements in collaboration with HR to ensure availability of qualified personnel as and when required.
• Perform modifications and enhancements to existing systems (processes, procedures, etc.)
• Lead and mentor a team of administrative professionals, providing guidance and support.
• Oversee end-to-end health insurance administration, including policy management, renewals, vendor coordination, and claims monitoring to ensure efficient service delivery and cost control.
• Lead the implementation of workplace safety programs, ensure compliance with HSE standards, conduct regular audits, and oversee emergency preparedness and response planning.
• Oversee the transport and fleet operations and optimization of transport services.
• Oversee fuel procurement and implement control mechanisms to ensure efficiency and prevent misuse.
• Support the planning and implementation of CSR initiatives in alignment with organizational values and community engagement objectives.
• Ensure effective management of vendors and contracts, including SLA monitoring, performance evaluation, and compliance with contractual terms.
• Lead administration budget planning and monitor expenditures across facilities, fleet, and operational services to ensure cost efficiency and adherence to approved budgets.
