Major Goal of the Position: Ensure that excellent relationships with government bodies, donors and other partners are maintained through timely reporting and documentation sharing, and to assist with training of male CHWs to ensure provision of high quality health services to the communities.
Key Result Area (KRA) 1: Project Liaison Support – The Kabul MCNH Project Assistant will:
- Develop and maintain good relationships with different levels of MoPH to ensure permission and acceptance of project activities
- Ensure good coordination and communication at all relevant levels and departments of the Ministry or Public Health, and represent the mission, vision and values of Operation Mercy before official bodies
- Ensure all documentation is submitted for MOUs and MoPH/MoEc reports in a timely manner and urgently continue to follow up the process of MOUs and other permissions until obtained
- Ensure timely submission of all clinical reports to Project Management for government departments and partners
- Submit all monthly, 6-month and annual reports, sector letters etc to relevant departments on time.
- Support Technical Manager in requesting SAM supplies from DoPH, and in ensuring stock is available when and where it is needed
- Maintain stock records to ensure stock is not lost or wasted
- Maintains operations by following policies and procedures, including data protection.
Key Result Area (KRA) 2: Data Collection – The Kabul MCNH Project Assistant will:
- Ensure that all data from Health and Nutrition Services in our clinics is collected and that clinical health and nutrition databases are maintained through regular timely and accurate data entry so that it is available for MEAL and Reporting.
- Provide all data entry reporting templates (e.g. Registration books, registration cards, tally sheets etc.) to Health Centers as needed, and assists with ensuring relevant staff are able to use these forms correctly
- Review data for deficiencies, resolve discrepancies by communicating with and/or returning incomplete documents to the appropriate team leader for resolution and correcting data entry as needed.
- Archive original documents into appropriate folders and makes scanned copies as required; provides paper copies of documents that are kept at field level.
- Assists in preparing weekly and monthly reports as requested by the Project Manager.
- Ensure that data from all Nutrition and MCH training is collected and entered in a way that enables MEAL officer and project management to assess effectiveness of training
- Provide data needed for all donor reports in a timely manner
Key Result Area (KRA) 3: Project Reporting to Donors – The Kabul MCNH Project Assistant will:
- Ensure that reporting requirements, formats and timelines for all donors, especially AHF, is tracked
- Coordinate with the MEAL officer to ensure that all data required for all aspects of AHF cross-cutting areas is being gathered and ready for the reports.
- Ensure that all reporting for AHF and other donors is completed on time and in the required formats.
Key Result Area (KRA) 4: Training and Supervision Support – The Kabul MCNH Project Assistant will:
- Assist with Performing supportive supervision and on-the-job training to staff at the basic health centers, especially male staff
- Be available to stand in for the Doctor at the clinic when needed.
- Be available for training sessions for the male CHWs
Key Result Area (KRA) 5: Personal Growth, Team Work and Values – The Kabul MCNH Project Assistant will:
- Develop and maintain good relationship with all co-workers.
- Teach and nurture vision, mission and values of Operation Mercy to all health staff and model character building, accountability and understanding in basic health care and training principles.
